37.5 hours per week

Circa £26,000.00

Role profile

We are seeking an experienced Facilities and Compliance Administrator to join our Head Office team based on the outskirts of Brighton. Reporting to the Facilities Manager, the role will be responsible for maintaining computer and paper-based records of Capital Hair and Beauty properties portfolio.

Key responsibilities

  • Undertaking administration relating to the negotiation and management of legal documents, such as leases and all correspondence with agents and solicitors.
  • Liaising with internal and external contractors to obtain documentation confirming compliance of all works, and to ensure all compliance checks, and periodical works, are carried out and documented in a timely manner.
  • Supporting the Facilities Manager in ensuring reactive works are carried out within acceptable timeframes and to high standards.
  • Supporting the Facilities Manager in the implementation of a new MaintainX system, playing a critical part in ensuring that it is correctly populated, and diligently maintained.
  • Liaising with store management and Regional Managers to obtain documentation to carry out store compliance check's, and maintain H&S records.
  • Supporting Facilities projects with management of data and documentation.
  • Supporting the efficient operation of stores through effective monitoring and challenging of costs. This includes analysis, approval and processing of contracts/costs for utilities, rents, rates and facilities department costs.
  • Supporting the Fleet Manager in the buying and selling of Company vehicles, ensuring the vehicles are taxed, serviced and MOT’d as required

 

To be successful in the role you will have:

  • a good knowledge of IT skills
  • previous experience working in a facilities compliance admin role
  • experience in analysing, monitoring & processing utilities invoices
  • excellent organisational and communication skills, possess high attention to detail and be
  • flexible in adapting to all areas of the role. You will also be able to demonstrate proven experience in a similar role with the ability to multi-task in fast paced working environment
